Getting Started

Here is an overview of grant proposal basics that you need to consider. If you are having trouble with a particular point, feel free to contact us for help. We are ready to assist and guide you through the funding search and proposal development process. Communication is key to successful projects!

Define your project

  • Create a one page abstract defining the purpose, priorities and intended goals of your project. What need are you addressing?
  • Develop a preliminary list of resources and a budget needed for your project to succeed.
  • Consider Partnerships - your peers may be interested in working with you on your project.
  • Consider outside collaboration - linking with school districts, other colleges or public agencies may increase your resources and strengthen your project.

Research funding sources

  • Search the Internet Grant Search Databases we have recommended.
  • Arrange a meeting with the Grants Office to employ other searching resources.
  • Investigate funding sources of similar projects or projects serving the similar populations or addressing similar issues/problems

Contact the funding sources

  • Contact the grants office to determine our history of funding from this source.
  • Request proposal guidelines, a list of funded projects, and an annual report.
  • Ask if they require a letter of inquiry, a concept paper, or a full proposal.

Begin writing

  • If you haven't written a proposal before, read the Foundation Center's tutorial and other resources
  • Develop a conservative schedule for writing and submitting your proposal.
  • Complete and submit the Preliminary Grant Proposal Form [PDF 30KB] to your Dean's office for approval.
  • Pay careful attention to guidelines and rubrics/scoring standards.
  • Review similar successful project proposals.
  • Have colleagues and/or grant office read and comment on your draft(s).
  • Proofread, proofread, and proofread!
  • Plan to complete your final proposal ahead of the deadline to allow for approvals, required documentation, and printing if needed.

Prepare the Project Budget

  • Be realistic in the amounts requested but don't underestimate the value of your work.
  • Consult, as needed, the Finance Department, Human Resources, Facilities Department, Events and Conferences, Purchasing, and/or any other area that would be impacted by your project. Resources Page - On Campus

Pay attention to deadlines

  • Consider printing and copying time or possible computer slowdowns for electronic submissions.
  • Allow for time to gather any required documentation, support letters and authorized signatures.
  • Work with the grants office to submit your proposal and monitor its status.
