FAQ’s for students:

Which “ACTIVITY CATEGORY” does my activity belong in?
To identify which category an activity belongs in, search those categories that seem most related to the activity by clicking on each category and then selecting the activities drop down menu for that category to see a list of examples for that category.  Please note that additional activities can be added to each activity category by selecting “other” as the activity.

What if the activity is not listed?
Use the activity drop down menu and select ‘other’ at the bottom of the available choices. A new box will appear and you can add a new activity here.

Why wouldn't I want to “PRINT ON PORTFOLIO?”
Students may choose not to have an activity printed on their portfolio for a variety of  reasons, such as: if they wish to limit the number of activities on the portfolio; if they feel the activity is less essential to their portfolio than other activities; or if they wish to arrow the focus of the portfolio. Students are encouraged to document all activities while creating their portfolios to preserve a record of their involvement, and then to use this button as a way to edit their portfolio later, if they wish to do so.

When can I enter new activities?
New activities can be added at any time as you complete a semester or year of participating in an activity.  Activity advisors will be asked to verify portfolio activity at the end of each semester. It is recommended that students add new activities to your portfolio as you complete them by the end of each semester or by the end of the academic year so that the appropriate activity advisors may verify them.

What is an activity advisor?
An activity advisor is the faculty, administrator or staff person who can verify your participation in an activity. The activity advisor is the person whom you worked with or who oversaw your involvement in a particular activity. For example, a student organization advisor, a coach, etc. are among the people who serve in this capacity. Note that some departments may designate particular individuals to serve in this capacity for all activities through this department. An activity advisor is not your academic advisor, unless you also happen to work with that particular individual on a co-curricular activity.

What if the Activity Advisor for my activity is not listed?
Some departments may designate particular individuals to serve in this capacity for all activities through this department. For example, athletics designates one individual to verify all athletic team participation. If you do not see the person whom you worked with on your activity, look for someone from that department and use the email link to ask that person if they could verify your involvement for a particular activity. 

The student involvement office staff serve as default activity advisors. If you do not see the person whom you worked with on your activity, you may always select Bruce Perry (director of student involvement and activities) or Rebecca Jimenez (associate director of student involvement and activities) to serve in this role. These individuals may need to verify your involvement with another department, but they will assist you in completing your portfolio. 

What if the activity advisor is not a Salem State faculty or staff member?
My Activities Portfolio is only accessible to current Salem State faculty, administrators and staff.  If the activity advisor whom you worked with is not a university employee, then you can use an activity advisor verification form to authenticate your involvement in a particular activity. Have the individual whom you worked with complete this form and return it to the student involvement and activities office in room 218 of the Ellison Campus Center. The staff there will then be able to verify your activity.

Which sections of the portfolio are required to be completed?
To have an activity listed, it is required that students complete the following sections of  My Activities Portfolio:           

·       Select an Activity Category
·       Select an Activity
·       Select an Activity Advisor
·       Select a Role or Position
·       Select Status of Activity to move the portfolio to the next stage of development, i.e., ‘Ready for review by activity advisor’

Additional optional features of the program include:

-        Add Skills
-        Select Skill Category
-        Select Skill Set and Add to List
-        Within Add Skills select Student’s Rating and/or Advisor’s Rating

However, once the decision is made to "add skills", it is required that a rationale is provided by the student as to how these skills were developed. Students respond to the three reflection questions listed (What did I learn?  How, specifically did I learn it? Why does it matter?) to explain how you feel you’ve developed the skills cited.

Will all activities print on my portfolio?
All activities entered will print on a draft portfolio, unless the student specifically unselects the box ‘print on portfolio,’ located underneath the activities drop down menu. All entries remain part of the program that can be viewed on screen, but students may choose to unselect activities to keep them from printing on the portfolio.

Can I get a draft copy of my portfolio?
Select the ‘create draft PDF copy of activities portfolio’ or ‘create draft PDF copy of skills portfolio’ button(s) to see or print out a copy of either version of My Activities Portfolio. If you encounter any difficulty viewing the draft copy, first check to see if pop-ups are being blocked by the computer you are using.

How do I get an official copy of my portfolio?
Select the ‘create official PDF copy of activities portfolio’ or ‘create official PDF copy of skills portfolio’ button(s) to see or print out an official copy of either version of My Activities Portfolio. If you encounter any difficulty viewing the official copy, first check to see if pop-ups are being blocked by the computer you are using.

How far back in my experience can I enter activities into the portfolio?
My Activities Portfolio is intended to be a forward-moving program. Students are encouraged to initiate a portfolio early in their Salem State career and to add to it as they participate in more activities, requesting current activities advisors to review entries in a timely fashion. Students are expected to obtain the approval of activities advisors within one year or less of participating in an activity. The ability to go further back into one’s experience at Salem State is impacted dramatically by changes in personnel over time, the availability of accurate records for a particular activity and the time available to research past involvement.

What if I hold the same position for more than one year?
Students who hold the same position for more than one year, could create multiple entries or one entry, as appropriate. For example, if the position and the skills developed are similar or the same over time, then the student may only wish to create one entry and to change the time frame to reflect the span of time that they have served in that position.   

However, if the position, the setting, the skills developed, the accomplishments made, or  other significant aspects of the activity have changed from one year to another, it may be best to list your participation as two or more separate entries in My Activities Portfolio. One might serve as a resident assistant (RA) for two years, but one year work in a traditional  residence hall with first year residents and the next year work in a building with apartments and upper class students. Consequently, multiple entries as an RA may best capture this experience.

What if I wish to add additional activities to the My Activities Portfolio program?
Advisors who wish to add activities to the program may do so through completing a My Activities Portfolio New Entries form and returning to the student involvement and activities office in Ellison Campus Center Room 218 or to bperry@salemstate.edu.

What if I wish to change advisors or add additional advisors to the My Activities Portfolio program?
Advisors who wish to change activities or activities advisors may do so through completing a My Activities Portfolio New Entries form and returning to the student involvement and activities office in Ellison Campus Center room 218 or email any changes directly to bperry@salemstate.edu.
